Form Instance Permissions

Learn about permissions for Form Instances

Last published at: December 31st, 2025

By default, an average user can view only instances belonging to Form Definitions they have created or are permitted to view. However, they can also view Form Definitions and Instances, provided they have the necessary access privileges.

Based on the “Permissions” assigned by the Admin or the User who created the definition, the Regular User can “View Definition, Design, Remove, and View Form Instances".

You need to navigate to the Form - Instances page and select the Instance from the list. You can use the Search textbox to narrow the list. Then click View > Permissions.

The Manage Permissions page opens in a new tab, as shown below.

Configure the Form Attachment permission by selecting one privilege from the drop-down list. Click the Save Permission button. Users with appropriate permissions can attach or download file attachments to the Form Instance.

Search for and add the Regular User(s) for whom permission must be set for the selected Form Definition. The search should contain at least 3 characters to initiate.

Select the user from the list and click the "Add" button. Use the checkboxes to “grant or revoke” the permissions.

  • The “View” permission, when enabled, grants the user the ability to render the Form Definition.
  • The “Design” permission, when enabled, grants the user the ability to modify the Form Definition.
  • The “Remove” permission, when enabled, grants the user the ability to remove the Form Definition.
  • The “Instance” permission, when enabled, grants the user the ability to view the Form Instances for this Form Definition, regardless of who created them.

Click the “Save Permission” button. A confirmation message appears in the top-right corner. In the example below, the regular user “AlphaA” has the privileges to View, Design, and Instance access.

Likewise, the permissions can be granted to the application role's user, as shown below.
