Form Instance Permissions

Learn about permissions for Form Instances

By default, an average user can only view instances belonging to Form Definitions they have created or are permitted to view. However, they can also view Form Definitions and Instances, provided they have access privileges. 

Based on the “Permissions” assigned by the Admin or the User who created the definition, the Regular User can “View Definition, Design, Remove, and View Form Instances". 

You must navigate to the Form - Instances page and select the Instance from the list. You can use the Search textbox to narrow the list. Then, click on the View - Permissions menu option.

 

The Manage Permissions page is rendered in a new tab, as shown below. 

 

Configure the Form Attachment permission by selecting any one of the privileges from the drop-down list. Click the Save Permission button.  Users with appropriate permissions can attach or download file attachments to the Form Instance. 

 

Search and add the Regular User(s) for whom permission must be set for the selected Form Definition. The search should contain at least 3 characters to initiate. 

 

Select the user from the list and click the "Add" button. Use the checkboxes to “grant or revoke” the permissions.

  • The “View” permission, when checked, grants the user the ability to render the Form Definition. 
  • The “Design” permission, when checked, grants the user the ability to modify the Form Definition. 
  • The “Remove” permission, when checked, grants the user the ability to remove the Form Definition. 
  • The “Instance” permission, when checked, grants the user the ability to view the Form Instances belonging to this Form Definition, regardless of who has created it. 

Click the “Save Permission” button. A confirmation message is displayed in the top-right corner. In the example below, the regular user “AlphaA” has the privileges to View, Design, and Instance access privilege.  

 

Likewise, the permissions can be granted to the application role user, as shown below.
